BOOKING & CANCELLATION POLICY
Booking Fee
A 100% booking fee is required to secure all appointments. This ensures your appointment time is reserved exclusively for you.
New clients and one-off bookings require full payment at the time of booking. Existing regular clients who pre-book appointments may have payment processed on the Friday before their appointment as a courtesy.
If payment fails on the Friday before your appointment, the booking fee will still need to be paid prior to your appointment. If a payment fails, both the outstanding appointment and future appointments will require payment in advance going forward.
If payment cannot be processed for any reason, your appointment will no longer be secured and the slot may be released to other clients. I will attempt to contact you, however it remains your responsibility to ensure your payment details are up to date.
Rescheduling
Appointments may be rescheduled with more than 48 hours notice at no extra charge. Any changes required within this window must be requested by contacting me directly during business hours and are subject to availability.
Cancellations & Refunds
Cancellations made with more than 48 hours notice will have their payment transferred to salon credit, which can be used toward any future appointment.
Cancellations made with less than 48 hours notice, or missed appointments (no-shows), are strictly non-refundable. This includes cancellations due to illness.
This policy exists because late cancellations and no-shows leave gaps in my schedule that cannot realistically be filled at short notice, directly impacting my business.
Please note that Monday appointments cancelled after closing time on Friday will fall within the 48-hour cancellation window and are therefore non-refundable.
Why This Policy Is Strict
As a sole trader, my livelihood depends entirely on my time being used effectively. When a client cancels late or doesnt show up, that appointment slot cannot realistically be filled at short notice, meaning that time is lost completely.
Many clients may feel they are only one person cancelling, but what is often unseen is that multiple last-minute cancellations can happen within the same week, which has a significant impact on a small business when those appointment slots cannot be refilled.
Unlike larger businesses, I have no team to absorb the impact of missed appointments. Every no-show or late cancellation directly affects my ability to continue offering the high standard of service my clients deserve.
This policy exists not to be punitive, but to ensure fairness for you, for me, and for other clients who may be waiting for an appointment.
Cancelling Outside Business Hours
If you need to cancel outside of business hours, you must do so through Vagaro. Cancellation requests sent via social media, email, WhatsApp, or text will not be monitored and cannot be accepted as valid cancellations.
Any cancellations or changes requested outside business hours will not be processed until I reopen. I cannot be held responsible for requests made through unofficial channels that are not received or processed in time.
Appointment Reminders
Confirmation emails and text reminders are offered as a courtesy only. While I endeavour to send these where possible, their delivery cannot be guaranteed.
It is your responsibility to keep track of your own appointment dates and times. Failure to receive a reminder does not exempt a booking from this cancellation policy, and non-attendance will still be treated as a no-show.
Patch Testing
Clients must ensure they have completed the required patch test prior to any treatment that requires one. It is your responsibility to arrange this in advance.
Failure to have completed a patch test may result in your appointment being cancelled. The session will still be counted as used and no refund will be issued.
Late Arrivals
Please do not arrive more than 5 minutes early for your appointment, as another client may still be receiving their treatment.
Clients arriving more than 10 minutes late may result in the appointment being unable to go ahead and will be treated as a no-show, which is non-refundable.
Late arrivals cannot be rescheduled.
I will always do my best to deliver a full treatment, but arriving late means I cannot guarantee this without impacting the next client.
Health Conditions & Contraindications
It is your responsibility to disclose any medical conditions, allergies, skin sensitivities, or relevant lifestyle factors prior to booking.
Certain treatments may not be suitable for clients with specific health concerns, and I reserve the right to refuse treatment if it is deemed unsafe or inappropriate.
If you are unable to receive a treatment due to a contraindication discussed during your consultation for example, use of sunbeds too close to your appointment the session will be forfeited with no refund.
Failure to follow pre-treatment advice or aftercare instructions may also result in cancellation without refund.
Client Conduct
I am committed to providing a welcoming and professional environment for all clients. All clients are expected to treat me and others with respect and courtesy at all times.
Abusive, threatening, or inappropriate behaviour will not be tolerated and may result in immediate refusal of service without refund. I reserve the right to refuse future bookings from any client who breaches this policy.
Repeated Cancellations
Clients who repeatedly cancel or fail to attend appointments may lose the ability to book online. In such cases, all future bookings will require full payment in advance.
Memberships, Prepaid Courses, Packages & Gift Cards
All terms and conditions in this policy apply equally to appointments booked using memberships, prepaid courses, packages, and gift cards.
Missed appointments or late cancellations within 48 hours will result in that session being forfeited with no exceptions.
If an alternative appointment is offered for a membership facial and the date is unsuitable, the session may still be forfeited.
Sessions, credits, and gift card balances cannot be refunded as cash and hold no monetary value outside of the services offered.
Unused sessions or credits do not carry forward indefinitely please ensure you are aware of any expiry terms at the time of purchase.
Gift cards are non-refundable and cannot be exchanged for cash.
Confirming Changes
Any appointment changes including rescheduling or cancellations are only confirmed once processed through Vagaro or explicitly acknowledged by me during business hours. Until you receive confirmation, your appointment and its associated payment terms remain in place.
Debt Recovery
If payment remains outstanding, I reserve the right to refer the debt to a third-party debt collection agency. All associated recovery, administration, and legal costs will be added to the outstanding balance.
Acceptance of This Policy
By booking, attending, or paying for an appointment, membership, package, prepaid course, or gift card, you confirm that you:
- Have read and understood this policy
- Accept the 48-hour cancellation rule without exception
- Agree to the debt recovery provisions
